2016 Membership Terms & Conditions

Hawthorn Football Club terms and conditions have been updated on 10 February 2016

Hawthorn Football Club may from time to time where reasonably necessary vary the terms and conditions of Hawthorn Football Club membership. Hawthorn Football Club will communicate any change to its membership terms and conditions via the Hawthorn Football Club website. Members will have no claim against Hawthorn Football Club by reason of any change made to its membership terms and conditions.


NAB Challenge

Access to NAB Challenge matches is subject to availability and is not guaranteed. The AFL recommends that all members guarantee their entry by using their membership card to upgrade to a reserved seat or register for a general admission ticket. Membership upgrades and registrations are subject to availability on a first come, first serve basis and subject to an additional fee. Transaction fees may also apply.


Purchase of Membership

If you are successful in your application for membership, the club will send you a confirmation/acceptance letter in the form of a 2016 membership card and/or fulfilment package approx. 21 days after date of receipt, with the exception of memberships purchased prior to 1 November 2015, in which case, membership cards and fulfilment packs will be sent from 1 November 2015.

Hawthorn Football Club will not:

(a) process any form that is incomplete

(b) accept any changes to an application form or membership (except for change of mailing address, change of circumstances, or any other information that could affect your membership - concession card status, etc.)

Hawthorn Football Club reserves the right to not accept any application form in its absolute discretion. The club also reserves the right to suspend or cancel a membership without refund to any member that breaches these terms and conditions or, in the opinion of the club's board of directors, is guilty of conduct unbecoming of a member or prejudicial to the interests of the club. A member will be given at least 7 days' notice of any meeting of the board at which it is proposed that a resolution be passed to cancel their membership and they will have the opportunity to attend such meeting and give orally or in writing any explanation or defence they may think fit.


Membership Terms

(a) The membership card remains the property of Hawthorn Football Club. Membership cards may not be sold, exploited for commercial use, or used for promotional purposes or campaigns without the express written permission of Hawthorn Football Club.

(b) Access to matches is not guaranteed. Access is subject to capacity and you are encouraged to reserve a seat in order to guarantee entry, particularly at high demand matches. Members will be required to pay additional fees and charges when reserving a seat. Access may be gained to unreserved seating on a first-come, first served basis subject to availability and Members can upgrade to a reserved seat at the venue for an additional fee subject to availability.

(c) Hawthorn home games are designated at the discretion of the AFL, and any game that is promoted as such is included in a home game membership ticket.

(d) Priority One ‘First Allocation’ (Legends Club) members from 2015 have priority to renew their current membership and reserved seat for the 2016 season until 30 October, 2015. After this date, reserved seats and Priority One ‘First Allocation’ status cannot be guaranteed.

(e) Priority One (Kennedy Club, Gold, Interstate Gold and Tassie Gold) members from 2015 have priority to renew their current membership and reserved seat (if applicable) for the 2016 season until 30 October, 2015. After this date, reserved seats and Priority One status cannot be guaranteed.

(f) All reserved seat holders from 2015 with the exception of Priority One and Priority One ‘First Allocation members (Silver Reserved Seat, Captain's Membership, Hudson Club, Eade Wing and Pritchard Pocket) have priority to renew their current seat for the 2016 season until 7 December, 2015. After this date, reserved seats cannot be guaranteed.

(g) If Hawthorn Football Club is unable to meet your request for membership category or seating allocation after a purchase has been made, we will contact you to discuss further options. Payment of membership must be made at time of receipt of application form by Hawthorn Football Club. If request of membership category cannot be met, Hawthorn Football Club will honour a refund.

(h) Category definitions:

Concession: To qualify for a concession membership, you must be the holder of one of the following forms of identification and must produce identification at point of entry into an AFL venue while using your membership to gain entry: Pension Card - Aged, Single Parent or Disability, Veteran Affair Card, Full-time Student Card

Baby: Under the age of 3 as at 1 January 2016Youth: Under the age of 18 but over the age of 15 as at 1 January 2016 (Must hold a student card)

Junior: Under the age of 15 as at 1 January 2016

Family: Two adults and up to four juniors, under the age of 15 as at 1 January 2016

(i) Access to MCG member rooms including the Miller Room (Legends Club), Lindsay Hassett Room, Medallist Bar and Betty Cuthbert Lounge (Legends and Kennedy Club members) on match day will be solely through the presentation of your 2016 membership card. If you cannot produce your 2016 membership card, you will not be granted admittance.

Ponsford Stand Flexi members will have access to the Dean Jones Bar on level 2 of the Ponsford Stand for MCG home games but only in the instance of the member having a seat allocated through Ticketek in the Ponsford Stand Flexi allocation for that match. Ponsford Stand Flexi membership cards will not provide access to level 2 of the Ponsford Stand or the Dean Jones Bar.

(j) All 2016 Cheer Squad members must also be members of the Hawthorn Football Club in 2016.

(k) The club cannot accept responsibility whatsoever for membership cards that are lost, stolen or destroyed. Lost membership cards should be reported immediately to the Membership department on 1300 042 957. Upon written confirmation that the card has been lost, a replacement membership card will be issued. Cards cannot be replaced on game day.

(l) Any person seeking a refund must do so in writing, addressed to the Membership Operations Manager. By doing so, the member's request will be taken in to consideration, however they are not guaranteed a refund. Members will need to return their core membership pack and membership card to the club before a refund is processed. Members who utilise their membership for match-day entry will be refused a refund.

(m) Members are required to notify the club of any change in circumstance, including the issuing or withdrawal of concession status; member contact details; or any relevant information that could affect their membership of the Hawthorn Football Club.

(n) All membership fulfilment; including members-only loyalty scarf, is strictly limited. There will be no re-ordering should all stock be depleted.

(o) Seating areas at the MCG and Aurora Stadium are subject to change, these are made upon consultation with the venue. The club will endeavour to advise all members of these changes.

(p) Bay M1 at the MCG (Silver 'Family' allocation) is an alcohol-free section of the MCG.

(q) All Junior Rioli and Baby Hawk members will receive a birthday card within two weeks of their birthdates registered with the club. The birthday card promotion for 2016 members will run from 1 January 2016 to 31 December 2016.

(r) Baby Hawk members will not receive admission into Hawthorn games as part of their membership, therefore a barcode will not be issued.

(s) The 2016 members-only loyalty scarf given to all members every season is based on the members' consecutive years of financial memberships. Members can query their years of membership by contacting the Membership department on 1300 042 957, however the final decision is at the discrepancy of the Membership Operations Manager.

(t) If a member has special needs, and holds a state issued Companion card, the member is eligible to receive a second membership, of the same category as they purchase, at no charge. This membership can then be used by a carer when attending football matches with the member.

(u) When attending AFL/VFL matches, functions or events supported by the AFL or AFL Club/s, members of the Hawthorn Football Club must abide by policies set-out by venues in relation to attitude and behaviour. Any incident reports received by officials will be dealt with in an appropriate manner, and Hawthorn Football Club reserves the right to immediately cancel a membership at its own discretion based on violations incurred by members.


MCG reserved seating

Due to the difficulty in accurately classifying any seat at the MCG as "undercover", even though there is a roof overhead in some sections of the ground, patrons cannot be guaranteed protection from the elements.

Etihad Stadium home game

At the direction of the AFL, should the club be required to play a home game at Etihad Stadium, the following terms will apply: (a) Members with general admission entry entitlements will be subject to the same clauses as section (b) of Membership Terms.

(b) All members will receive communication from the club in regards to a home game at Etihad. All MCG reserved seat holders will be communicated to via SMS and/or email on how they can obtain a reserved seat in a specific Hawthorn allocation. The time of this communication will be determined once the fixture is released.

The following memberships are entitled to apply for a guaranteed Grand final ticket should Hawthorn compete:

  • Legends Club
  • Kennedy Club
  • Gold
  • Tassie Gold
  • Interstate Gold

A waiting list exists for members wishing to apply for one of the memberships listed above in 2016. Members must hold and retain a current membership in order to remain on the waiting list. For more information, call the Membership department on 1300 042 957.


2016 Finals Series

All members are given the opportunity to purchase a ticket during the first three weeks of the finals series (Week 1 - Qualifying & Elimination Finals, Week 2 - Semi Finals & Week 3 - Preliminary Finals).

Finals matches are administered by the AFL with the core advantage to Hawthorn Football Club members being a priority access period for the opportunity to purchase ticket/s to the game before the general public. This priority access period is also extended to the members of the other competing club.

Neither the club nor its members have the same rights as they receive for Home and Away games - 2016 reserved seat members will be unable to retain their current reserved seat for the finals series.


Grand Final member ticketing - Priority and registration

Hawthorn Football Club will communicate information relating to the Grand Final to members once arrangements are finalised should we be participating in finals. This will include information regarding accessing a Grand Final ticket. This information will be communicated via direct mail and on hawthornfc.com.au. It is the responsibility of the member to ensure that their contact information is correct and that they have familiarised themselves with this information.

Those members with Priority/Guaranteed Access as listed below will be required to follow the appropriate procedures as communicated by the club in order to secure their ticket. Members who do not follow the procedure as outlined by the club will forfeit their right to access a ticket.

Grand Final tickets for participating clubs are limited and allocation is determined by a priority listing. The order of priority for those members who hold a home game or home-and-away game membership is as follows:

Priority One (first allocation): Legends Club,

Priority One (second allocation): Home-game & home and away-game Kennedy Club, Interstate Gold, Tassie Gold & Gold members

Priority Two: Home-game & home and away-game Silver members, Interstate Silver and MCC Hawk members

Priority One members are guaranteed a Grand Final ticket when Hawthorn Football Club participates, provided they register for a ticket during the allocated time as per ticketing instructions. While Priority One members are guaranteed a Grand Final ticket according to procedure, they are not guaranteed a Premium seat allocation for the Grand Final, regardless of seat allocation throughout the Home & Away season.

Priority Two members are also required to register for a Grand Final ticket when Hawthorn Football Club participates, however they will enter a ballot to determine if they are successful in obtaining a ticket. Members will be required to register in their allocated time, which will be communicated at a later date.

To be eligible for a Grand Final ticket, you must join as a member prior to 31 July, 2016.

All other members are not eligible to purchase a Grand Final ticket through the Hawthorn Football Club Grand Final Registration.


2016 HawksDirect payment plans

By purchasing a membership on the HawksDirect payment plan indicates you have read and agree to the terms and conditions of the HawksDirect payment plan agreement on membership.hawthornfc.com.au. You are also approving the Hawthorn HawksDirect payment to roll-over for future seasons unless you opt out. To opt out, members will need to notify Hawthorn Football Club through our opt-out process once all payments have been finalised. Call 13000 HAWKS (42957) or email membership@hawthornfc.com.au for opt-out information.

Should a member be required to change categories of membership, the most appropriate membership according to the individual membership will be selected by management. The selected membership will be applied to the member's HawksDirect membership. Members can be required to change membership categories for the following reasons:

  • A membership line is discontinued
  • The member is too old for that category according to AFL regulations
  • Membership terms and conditions have changed
  • Reserved seating allocations have changed

Appropriate communication will be sent to members affected by a changed category of membership. Members will have an option to opt-out of this membership category or select a new membership category on their own behalf.

Prior to HawksDirect memberships rolling-over to the new season, any outstanding amounts will be manually deducted from your nominated credit card. Outstanding amounts must be cleared for current memberships to be made financial. Members with declining credit cards will be contacted.


HawksDirect - Monthly

Payments will be deducted in 10 equal instalments on the 1st of each month (should the 1st fall on a weekend or public holiday, payment will be taken on the following work day), beginning on 2 November 2015 via a nominated VISA or MasterCard account.

1. By signing with the HawksDirect payment plan, you authorize the Hawthorn Football Club to arrange a transfer of funds from your nominated credit card in an amount applicable to your membership type and at intervals as advised in point 3.

2. Members will be given sufficient notice in writing of changes in the new amount of their next season's membership and to the terms of the HawksDirect payment plan agreement. If you do not wish for your Membership to roll over into the following season, you will be required to opt out in writing.

3. The first instalment will be withdrawn on 2 November 2015 with further payments on the 1st of each following month. If any payment fails to transfer between institutions on the 1st, further attempts will be made to attempt to clear the fund transfer.

4. Members applying for the HawksDirect payment plan for the first time, prior to the first scheduled payment on 2 November 2015, will have their first payment taken out upon receipt of application on the spot and then continue to have payments deducted as per the payment plan schedule. All members applying for HawksDirect after 2 November 2015 will have the total number of lapsed payments deducted upon receipt of application and then subsequent payments at each specified date.

5. If your debit is returned or dishonoured by your financial institution, a letter will be sent requesting immediate payment. Any fees levied to you by your financial institution will be payable to you.

6. Hawthorn Football Club may suspend or cancel your membership if your drawing is dishonoured:

a) On two consecutive occasions, or
b) On the August 2016 monthly payment (due to AFL membership cut-off deadlines and AFL Finals Series privileges)

We will notify you by letter if we suspend or cancel your HawksDirect payment plan arrangement.

7. It is your responsibility to ensure that: (a) the account details you have provided are correct and include notification should the expiry date change within the 10 month program (b) you have sufficient clear funds available in the nominated account, on the scheduled drawing date.

8. If your membership is suspended or cancelled you will not be able to gain access to games, including finals, at the MCG, Aurora Stadium or Etihad Stadium.

9. If you believe a withdrawal has been initiated incorrectly, please contact Hawthorn Football Club Membership department on 13000 HAWKS (42957). You will receive a full refund of the withdrawal amount if we cannot substantiate the reason for the drawing.


HawksDirect - Annual lump sum

Payments will be deducted in one lump sum via a nominated VISA or MasterCard account.

1. By signing with the HawksDirect annual payment plan, you authorize Hawthorn Football Club to arrange a transfer of funds from your nominated credit card in an amount applicable to your membership type as advised in point 3.

HawksDirect - Get your second month free promotion

2016 members who are new to a HawksDirect payment plan and use the promo code ALWAYS16 can be eligible to receive the second month of their HawksDirect payment plan for free.

This offer is only available to 2016 members who did not utilise the HawksDirect payment plan for the 2015 season.

This offer is available for HawksDirect Upfront and Monthly payment plans using a credit card only. The offer can be redeemed online through membership.hawthornfc.com.au, by calling 1 3000 HAWKS (42957) or by selecting the relevant payment option on a renewal invoice.

For members who join online using a HawksDirect Upfront payment plan, you will be required to pay the full amount for your membership and will have the equivalent of a HawksDirect Monthly payment plan instalment refunded back to your nominated card. By joining over the phone or with a renewal invoice, the relevant amount will be deducted from your payment amount.

For members who join using a HawksDirect Monthly payment plan, you will be required to pay all instalments that are currently owing at the time of purchase (See HawksDirect – Monthly clause 4 above), and will then receive your next instalment (to the total of one monthly instalment or 10% of your annual membership fee) free of charge.

All HawksDirect terms and conditions will be accepted as part of this offer.


2016 Bring a friend for FREE offer

Upon the release of the 2016 AFL Fixture, Hawthorn Football Club will confirm selected games in which members can bring a friend for free. Full terms of the offer are listed below:

  • The free ticket will be a general admission ticket. General admission entry is subject to capacity
  • The ticket cannot be upgraded to a reserved seat or access any of the Hawthorn Football Club reserved seating areas
  • Members must download the tickets from their MyHawks account.
  • Members can only use their free ticket for one of the nominated games.
  • Tickets for each game will be limited to a certain amount to be determined upon the announcement of the nominated games
  • A deadline to download the ticket will be provided upon the announcement of the nominated games


Membership promotions

Hawthorn Football Club has the ability to introduce new promotions and offers to members. Any member who has purchased prior to these offers will not be able to request a refund for membership or have the promotion apply to their membership.


Interstate ticketing - Terms and conditions for interstate members

In addition to any specific conditions contained on the booking application form – will be sent to eligible members in their fulfilment pack, commencing December 2015 - the following applies to Hawthorn Football Club members who reside interstate:

1. Members (with the exception of 3-game, 4-game, interstate Junior Hawk and Baby Hawk members) have the opportunity to obtain one (1) complimentary ticket and reserved seat per member, per season for a game played in their state (ACT members have access to games played in Sydney). Interstate Gold members receive one (1) guaranteed ticket per member per season.

2. Hawthorn Football Club is allocated a limited number of tickets to each interstate venue. More often than not, it is expected that the request for tickets will exceed this allocation. Should this be the case, a ballot process will be implemented and members will be drawn randomly. Those members who are not successful will be contacted. Ticket(s) will be mailed prior to the match.

3. Should a ballot system be required, the following priority system will be implemented - 1. Interstate Gold; 2. All other 2016 members (except 3-game and 4-game members). Group bookings will not be split during the ballot process.

4. 3-game, 4-game, Interstate Junior Hawk and Baby Hawk members do not qualify to receive a complimentary ticket to interstate matches.

5. Seats will be allocated by the Hawthorn Football Club. Any requests for seating will be considered but cannot be guaranteed.

6. Only one booking form per group request will be accepted and entered into the ballot.

7. To enter the ballot, members must follow the instructions set-out on their booking application form. All booking forms must be received by Hawthorn Football Club by the nominated cut-off date that appears on the booking form.

8. Some states may see two matches played, depending on the fixture. However, members will only be able to apply for one (1) of these matches, except if the club's allocation of tickets has not been exhausted immediately following the set cut-off date, the Hawthorn Football Club may make a special release of tickets in their allocation for other members to purchase.

9. Should more than one match be played in a state during the season, Interstate Gold members will receive a preference booking form asking for their preference of matches to attend.

10. Booking forms will not be approved if a member is in arrears with payment for their 2016 membership.

11. Depending on ticket availability, guest ticket purchases may be allowed. Members must indicate on their booking form their intention to purchase guest tickets. Members will be contacted by email approximately six weeks prior to the game should guest tickets become available.

12. Should a junior member require an adult to accompany them to the game, an adult guest ticket can be purchased. Bookings must be made through the Membership department on 1 3000 HAWKS (42957). If a ballot is required, the junior member is not guaranteed a ticket. The club will not be held responsible if a junior member receives a ticket without the club being notified of this request.

13. Tickets are not transferrable and cannot be sold.

14. Interstate Gold members who wish to sit with non-Interstate Gold members must be aware that these members are not guaranteed a ticket. Should a non-Interstate Gold member be unsuccessful in a ballot, the Interstate Gold member will still be allocated a ticket.

15. All members will be notified by email approximately two weeks prior to the match with information on ballot results and ticket delivery (where applicable).


Melbourne and Aurora Stadium Seat Return Terms and Conditions

2016 Melbourne and Aurora Stadium reserved seating members will have the opportunity to return their reserved seat for selected home games throughout the 2016 season.

For the nominated matches, members will adhere to the following terms and conditions:

1. Members can return their seat by logging on to their MyHawks account with their Member ID and Password. Members can also return their seat by calling 1300 042 957.
2. Members must return their seat before the nominated cut-off time which will be provided on membership.hawthornfc.com.au for each match.
3. Once your seat has been returned, it cannot be retrieved to that match and your membership card will be deactivated for this game.
4. A credit towards your 2017 membership will only be awarded if your reserved seat is successfully resold through Ticketek (MCG) or Ticketmaster (Aurora Stadium and Etihad Stadium). There is no guarantee that a seat returned for resale will be sold.
5. If a credit is awarded to you it can only be used on the following season’s membership and it is non-transferable.
6. Return credits are non-refundable and cannot be redeemed for cash.
7. You will be notified via email if your seat has successfully been resold.
8. If your 2016 membership is complimentary, discounted or your HawksDirect payment plan in non-compliant, you are ineligible for a credit award.
9. A full list of credits will be provided for each venue in early 2016.
10. Hawthorn Football Club’s decision on issuance of seat return credits are final and cannot be contested.
